How to calculate
Adds up the hours on a weekly time card from in and out times, less an unpaid break, with optional rounding, and works out pay with overtime after 40 hours.

Method: Each day: (out − in, plus 24 hours when out is earlier, after rounding) − break; total = sum of the days; overtime = total − overtime limit when above 0; pay = rate × regular + rate × multiplier × overtime.
- An out time earlier than the in time is on the next day, so one day is under 24 hours.
- The same unpaid break is taken off each day with both times. A break longer than the day gives no answer; a break as long as the day gives 0 hours.
- Rounding moves each in and out time to the nearest 5, 6, or 15 minutes; a time exactly halfway rounds up (later). Federal rules allow rounding to the nearest 5 minutes, tenth of an hour, or quarter hour when it averages out fairly over time (29 CFR 785.48(b)).
- Overtime is weekly: hours over the limit (40 by default, the federal Fair Labor Standards Act rule) at the multiplier (1.5 by default). Daily overtime rules are not included.
- Pay is before tax. Clock changes for daylight saving time are not counted.

How it works
Times are on a 24-hour clock, turned into minutes after midnight. For each day with an in and an out time:
- Round (optional): each time moves to the nearest multiple of 5, 6, or 15 minutes. A time exactly halfway rounds up (later). In minutes: rounded = ⌊(minutes + step ÷ 2) ÷ step⌋ × step.
- Length: out − in. If the out time is earlier than the in time, the shift ends the next day, so add 24 × 60 minutes.
- Hours: (length − unpaid break) ÷ 60.
The week:
- total hours = the sum of the days
- regular hours = the smaller of total hours and the overtime limit (40)
- overtime hours = total hours − regular hours
- regular pay = regular hours × hourly pay
- overtime pay = overtime hours × hourly pay × overtime multiplier (1.5)
- total pay = regular pay + overtime pay
Assumptions
- With no day that has both an in and an out time there is no answer. A total of 0 hours shows as 0 hours, with no hours-and-minutes line. A seconds part of a time is dropped.
- One day is under 24 hours. A day with only one of its two times gives no answer; a day with neither is a day off.
- The same unpaid break is taken off every day you worked. A break longer than the day gives no answer; a break as long as the day gives 0 hours for that day.
- Overtime is by the week, as in the federal Fair Labor Standards Act. Daily overtime rules (for example in California) are not included.
- Pay is before tax. Daylight saving clock changes are not counted.
Worked examples by hand
A standard week. Monday to Friday, 8:00 AM to 5:00 PM, 30-minute break, $20 an hour.
- Each day: 17:00 − 8:00 = 9 hours, less 30 minutes = 8.5 hours. Week: 5 × 8.5 = 42.5 hours (42 hours 30 minutes).
- Regular: 40 hours × $20 = $800. Overtime: 2.5 hours × $20 × 1.5 = $75. Total pay: $875.
Quarter-hour rounding and a night shift. Monday in 7:53 AM, out 4:08 PM; Saturday in 10:00 PM, out 2:30 AM; no break.
- Monday: 7:53 is 473 minutes, 7 minutes before 8:00, and ⌊(473 + 7.5) ÷ 15⌋ × 15 = 480, so 8:00. 4:08 PM is 968 minutes, 8 minutes past 4:00, and ⌊(968 + 7.5) ÷ 15⌋ × 15 = 975, so 4:15 PM. 16:15 − 8:00 = 8.25 hours.
- Saturday: 2:30 AM is earlier than 10:00 PM, so add a day: 150 + 1,440 − 1,320 = 270 minutes = 4.5 hours.
- Week: 8.25 + 4.5 = 12.75 hours, no overtime.
Tenth-of-an-hour rounding. In 9:02 AM, out 5:03 PM, no break. 9:02 is 542 minutes: ⌊(542 + 3) ÷ 6⌋ × 6 = 540, so 9:00. 5:03 PM is 1,023 minutes, exactly halfway between 5:00 and 5:06, so it rounds up: ⌊(1,023 + 3) ÷ 6⌋ × 6 = 1,026, 5:06 PM. 17:06 − 9:00 = 8 hours 6 minutes = 8.1 hours.
Double time. Four days, 8:00 AM to 8:00 PM with a 1-hour break, $18 an hour, overtime after 40 hours at 2 times the pay. Each day: 12 − 1 = 11 hours; week: 44 hours. Pay: 40 × $18 + 4 × $18 × 2 = $720 + $144 = $864.
Other questions people ask
How do I add up hours on a time card?
For each day, subtract the in time from the out time and take off the unpaid break. Then add the days. Monday to Friday, 8:00 AM to 5:00 PM with a 30-minute lunch, is 8.5 hours a day and 42.5 hours for the week.
How is overtime worked out?
Under the federal Fair Labor Standards Act, hours over 40 in a workweek are paid at least 1.5 times the regular rate. At $20 an hour, 42.5 hours pay 40 × $20 + 2.5 × $30 = $875. You can change the limit and the multiplier under Rounding and overtime, for example for double time.
Can my employer round my time?
Federal rules let an employer round clock times to the nearest 5 minutes, tenth of an hour (6 minutes), or quarter hour (15 minutes), as long as it averages out so that employees are paid for all the time they work. Rounding to the nearest quarter hour moves a time 1 to 7 minutes past a quarter back to it and a time 8 to 14 minutes past forward to the next, so 7:53 becomes 8:00 and 4:08 becomes 4:15.
How do I enter a night shift?
Enter the times as they are. If the out time is earlier than the in time, the shift ends the next day: in at 10:00 PM and out at 2:30 AM is 4.5 hours.
What does 8.25 hours mean in hours and minutes?
The decimal part is a share of an hour: 0.25 × 60 = 15 minutes, so 8.25 hours is 8 hours 15 minutes. The calculator shows the total both ways.
Are breaks paid?
Short rest breaks of about 5 to 20 minutes count as work time under federal rules and are paid. A meal break of usually 30 minutes or more, when you are fully off duty, is not work time. Enter only the unpaid break.
